Getting to the Organization Panel
Click the Settings icon (⚙️) in the left sidebar, located above your profile icon.
What You’ll See
The Organization Panel has two main sections:
Locations — All your store locations with a map view
Members — Everyone on your team, their roles, and their feature-level permissions
Your Locations
The Locations section shows all store locations in your organization. Each location displays:
Store name with city and phone number
Status badge showing subscription status
Map view with all locations pinned
Location Status
Status | What It Means |
Organization (purple) | Your primary/headquarters location. |
Active (gray) | Store with an active subscription. |
Inactive (red) | Store without an active subscription. |
Finding a Location
Click the Locations dropdown to search by name or filter by status (All, Active, Inactive). You can also hover over map markers to see location names.
Accessing a Location
Click any location row to go directly to that store’s Settings page, where you can update its information, fonts, and default configurations.
Adding New Locations
Need to add another store location? Contact your EtchExpress sales representative to set up additional locations for your organization.
Your Team Members
The Members section shows everyone who has access to your organization. Each member has a name, email, and role.
Member Roles
Role | What They Can Do |
Owner | Full control over everything — organization settings, all locations, and all team members. Shown with a crown icon. Can configure granular permissions for any team member. |
Admin | Can edit store settings for the locations they are assigned to. Granular permissions can be further customized per feature. |
Member | Can use EtchExpress (create designs, manage materials, etc.) at their assigned locations. Cannot change settings. Granular permissions can be customized per feature. |
Store Access & Granular Permissions
Beyond the three base roles, EtchExpress lets you fine-tune exactly what each team member can do within each store. When you click on a team member’s row, you’ll see the Store Access panel, which lists every major feature of the platform with four permission levels.
Permission Levels
Each feature in a store can be set to one of four access levels:
Permission Level | What They Can Do |
None | No access to this section. The feature is completely hidden from this team member. |
View | Can see data and content in this section, but cannot make any changes. |
Edit | Can view and modify existing content (e.g., update materials, change settings), but cannot manage billing or administrative functions. |
Manage | Full control — can view, edit, add, remove, and configure everything within this section. |
Features You Can Configure
The following features can each be individually set to None, View, Edit, or Manage for each team member:
Feature / Section | Description & Recommended Access |
Home | The main dashboard overview. Controls whether a team member can see activity summaries and quick-access links for the store. |
Analytics | Store performance data including order history, revenue, and usage metrics. Sensitive — limit Manage access to owners and key admins. |
Designs | The design library for engraving templates. Most operators and engravers will need at least Edit access to create and update designs. |
Materials | The catalog of engravable materials (plates, trophies, etc.) and their settings. Staff handling orders typically need Edit or Manage access. |
Billing | Subscription and payment information. Recommended: restrict to None or View for most staff. Only Owners or trusted Admins should have Manage access. |
General (Store Settings) | Core store details like store name, contact info, and address. Typically Admin-only. |
Fonts | The font library available for engraving designs. Manage access allows adding or removing fonts store-wide. |
Ornaments | Decorative graphic elements available in designs. Manage access allows adding or removing ornaments. |
Plates | Plate configurations and default sizes available for orders. Changes here affect what customers can order. |
Beds | Laser engraver bed configurations and settings. Changes here directly affect hardware behavior — limit Manage to technically trained staff. |
How to Set Store Access
Go to the Members section in the Organization Panel.
Click on the team member’s row to open their Store Access panel.
For each feature listed, click the desired permission level (None, View, Edit, or Manage).
Click Save to apply the changes. Changes take effect immediately.
Inviting Team Members
To add someone to your team:
Click the Invite button (top right of the Members section).
Enter their email address or username.
Choose their role (Member, Admin, or Owner).
Click the checkmark to send the invite.
After they join, click their row to configure their store access and granular permissions.
Changing Roles
To change someone’s role, click the role dropdown next to their name and select a new role. The change takes effect immediately.
Removing Team Members
To remove someone from your organization, click their role dropdown and select the remove option. They will lose access to all locations immediately.
Tips for Team Management
Start with Member role: Give new team members the Member role until they’re familiar with the system.
Use granular permissions early: Even for Members, configure their feature-level access before they start to avoid over- or under-permissioning.
Lock down Billing: Set Billing to None or View for almost everyone. Only Owners should have Manage access to billing.
Beds require careful access: Changes to Bed settings affect laser hardware. Only give Manage access to technically trained staff.
Limit Admin access: Only give the Admin role to people who need to change store settings.
Review store access regularly: As team members change roles, audit their permissions to keep access current.
Keep Owner role secure: Only one or two trusted people should have the Owner role.
Your Organization ID
Your organization has a unique ID. Click Copy ID below your organization name to copy it to your clipboard. This is helpful when contacting EtchExpress support.
